The Thermo Fisher Scientific HPLC business has been setting decisive and innovative trends for many years in the development, manufacturing and marketing of instruments and software for High-Performance Liquid Chromatography (HPLC). The expertise of our highly qualified staff contributes significantly to our economic success, enabling us to continuously expand our site in Germering near Munich.

For the support of our Team we are searching for a

Executive Assistant & Supervisor, Administrative Services (f/m)

Key Responsibilities
  • Provision of dedicated support to the VP/GM of the HPLC business and also the HPLC leadership team
  • Functional and disciplinary responsibility and management for the Administrative Ser-vices team
  • Administrative support of functional projects, initiatives and special reports
  • Preparation of bi-lingual (English-German) communications
  • Development and modification of new and existing PowerPoint presentations, corre-spondence and Excel spreadsheets
  • Maintaining of various calendars and travel schedules, organization of meetings, pro-vision of phone coverage
  • Maintaining organizational charts, phone lists and files
  • Preparation and reconciliation of travel expense reports
  • Responsibility for all responsibilities of Front Desk/ Administrative Services
  • Evaluate R&R of Front Desk/Administrative Services - Measurement and controlling processes and results
  • Identify training needs of the Front Desk/ Administrative services team members to ensure smooth operations; Implement blended learning approach
  • Focus on continuous improvement of the Administrative Services function
  • Partner with leadership team and managers in order to manage competing needs
  • Performance of general office duties; maintain files, order supplies, and ensure the workflow of the office runs smoothly, training administration, maintain collective acci-dent insurance and travel health insurance
  • Completion of all other position related duties as assigned or requested

Your Background
  • Associates Degree or equivalent combination of education and experience a plus; BS/BA pre-ferred
  • Minimum of 5 years experience as an administrative assistant / senior administrator, supporting executive(s) in a large multi-national company or equivalent experience
  • Exceptional written and oral communication skills
  • Strong organizational, analytical and administrative and time management skills
  • Fluency in German and English, good knowledge of Italian preferred
  • Able to handle confidential material in a professional manner and ability to maintain strict confidentiality
  • Must be proficient in spreadsheet, presentation, & email software such as MS Word, Excel, PowerPoint, Outlook, and general MS Windows operations
  • Must present a high degree of professionalism in both written and verbal communica-tion, as this role is an extension of the functions and the executives

  • Able to learn the executives’ primary business objectives, and through this understand-ing is able to anticipate administrative needs of the executives

  • Able to handle multiple projects and tasks simultaneously and independently with rec-ognizing / responding to shifting priorities
