Job Description

Job title: Executive Administrative Assistant

Responsible to: Senior IT Director, EMEA
Department: IT
Main purpose of job: To perform, diary management, expense management, travel management and general administrative duties and provide support as required.

Role

As Executive Administrative Assistant you will be expected to act as part of the IT teams and as such your job will involve you in supporting the IT lead for the region, but you may also support other members of the team from time to time.

Duties include:

  • Organising and maintaining diaries and making appointments;
  • Organising travel arrangements and supporting expenses submissions
  • Typing up meeting minutes
  • Preparing and collating presentations, co-ordination of presentations by speakers at training sessions
  • Devising and maintaining office systems, including data gathering and management and keeping the office metrics boards up to date
  • Writing and dispatching routine or straightforward letters
  • Policing the regular processes for completeness
  • Organising and attending key meetings, and ensuring all attendees are well-prepared for meetings
  • Ordering stationery and reference material
  • Undertaking any other tasks/duties as may be reasonably required.

  • A desire to show initiative and able to work on their own
  • Computer literate with extensive experience of using a PC
  • Extensive Microsoft Office experience
  • Experience of Apple products an advantage
  • Process improvement experience an advantage
