Job Title: Events Planner - maternity cover only

Reports To: Marketing Communications Manager

Position Location: Loughborough

Position Summary: To support the Senior Events Planner in achieving the communication and marketing objectives of the business through management of events throughout the European region, supporting revenue growth of targeted suppliers and products to market specific customer groups in line with company AOP and agreed targets.

  • Provide assistance in the execution of high profile customer, supplier and sales training events
  • Assist in the production and collation of materials for national shows organised by third parties
  • Place orders and arrange delivery for events collateral including pull up banners, exhibition kits, graphics panels, giveaways and trophies/awards cost effectively and to deadline
  • Maintain logistics support for European events series:
    • Support the booking and shipping arrangements of materials and equipment for events across European territories
    • Provide support for loading and offloading of events collateral
    • Liaise with customers and couriers to ensure smooth logistics provision
  • Provide booking admin support for events including:
    • Bookings (hotels, flights, restaurants, site visits, venues, contractors, agencies)
    • Checking invoices
    • Maintaining and updating booking records
    • Liaising with venues re: catering, AV, room requirements
  • Provide front of house support during events including set up and maintenance of event registration desk; meet and greet; distribution of event delegate materials
  • Provide administrative support for the budget log including preparation of acquisition requests, securing approvals from stakeholders, logging information in line with functional processes
  • This role incorporates the need to facilitate the transportation and movement of exhibition display kits, promotional material and boxes of literature from warehouse to the delivery vehicle and to the exhibition.
  • Effectively perform your duties whilst acting at all times in accordance with the Dignity at Work Policy, Code of Business Conduct and Ethics and our values of Integrity, Intensity, Innovation and Involvement
  • Embrace and participate in PPI initiatives to identify improvements and cost savings to the business

Minimum Requirements/Qualifications:

  • A demonstrable focus on understanding and meeting customer needs is required
  • Operational expertise; an ability to work well with colleagues from different countries and suppliers; to work well under pressure and deliver to deadlines
  • Strong PC skills with intermediate level proficiency in Microsoft Office, including Word, Excel, Powerpoint and Outlook.
  • Ability to multitask and work in a matrixed, fast-paced environment
  • Experience of managing logistical arrangements for events
  • Highly organized with strong organizational and planning skills
  • Experience of working with contractors to provide services such as shipping
  • Ability to manage self and resources, including time and surrounding circumstances to deliver both short and long term goals

Non-Negotiable Hiring Criteria:

  • Excellent written and spoken communication skills
  • Attention to detail
  • Awareness of manual handling regulations and the ability to facilitate the transportation and movement of promotional materials including exhibition kits and displays, boxes of literature etc in compliance with manual handling regulations
  • Must be fluent in English - proficiency in additional languages is desirable
  • Must be willing to travel across Europe - approx. 10%
  • A full clean driving licence - a requirement of the role is the ability to drive a van to exhibitions
