Job Description

Key Responsibilities:

  • Supports several executives and senior managers.
  • Maintains executive leaders’ calendar including; events, meetings, planning and other activities.
  • Maintains confidential material in a professional manner.
  • Organizes complex domestic and international travel arrangements.
  • Prepares and reconciles travel expense reports.
  • Finds solutions and operates in a matrixed environment.
  • Performs general office duties as assigned.
  • Works with staff on projects and special reports.
  • Composes and prepares routine correspondence, for the Executive’s signature. Type correspondence, creates presentations and spreadsheets. Supports agenda creation and related materials.
  • Establishes and maintains a variety of files and records.
  • Develops and modifies new and existing PowerPoint presentations, correspondence and Excel spreadsheets.
  • Supports onboarding of new Finance employees.
  • Orders supplies for Executives and Supervisor.
  • Completes all other position related duties as assigned or needed.
  • Supports onboarding of new Finance employees.


Required Qualifications:

  • 5+ years’ experience as an administrative assistant/senior administrator, supporting senior leadership in a large multi-national company.
  • Associates Degree from an accredited higher learning institution or equivalent combination of education and experience, as well as a High School Diploma or GED.
  • Proven experience in planning and arranging complex international business trips to include flight itineraries, rental car reservations, and lodging accommodations.
  • Ability to plan and arrange calendar events, meetings, and other activities.
  • Must be proficient spreadsheet, presentation & email software such as MS Word, Excel, PowerPoint, Outlook and general MS Windows operations.
  • Ability to proof read and edit presentations, correspondence, announcements, etc.
  • Ability to relay messages accurately, orally or in writing, and to give clear instructions to others.
  • Willingness to receive and follow instruction.
  • Possess excellent verbal and written communications skills and be customer focused to relate professionally and pleasantly to different levels of the Thermo Fisher Scientific organization, to exhibit good knowledge of business English, spelling, and punctuation.
  • Possess strong organizational skills, with attention to detail to perform a variety of duties concurrently and accurately, meet deadlines and follow-up in a timely manner.
  • Possess excellent telephone etiquette

Preferred Qualifications:

  • BS/BA degree.
  • Exceptional written and oral communication skills.
  • Proven ability to perform multiple responsibilities, prioritize tasks, and remain level-headed and professional under pressure.
  • Strong problem solving skills and reasoning to solve administrative issues.
  • Excellent organizational skills and creative abilities.
  • Interact with all departments at all employee levels, even in stressful situations.
  • Self- motivated, ability to work with little or no supervision.
  • Excellent leadership, interpersonal, customer orientation, presentation, and problem solving skills.
  • Well-developed general business acumen.
